Data Protection Law, namely the General Data Protection Regulation requires that we actively inform you of how we will process your data and to confirm the rights you have with regards to that processing. The purpose of this notice is to fulfil that requirement.

Personal Data we process when providing our services

Effective Energy uses personal data to process quote requests for Energy Efficiency Improvements and maintenance services and to carry out those services and to monitor the quality and compliance of the services provided.

Any information sent via an online form is processed for the same purposes.

We may record calls to our business to aid training and compliance purposes. Our phone system will also store information on the time, length, source and destination of a phone call from who to who which we process to monitor the effectiveness of our service.

The personal data we process is done so under the legal basis of providing the contract for the provision of energy efficient measures, maintenance and servicing at the property. We also process some personal data under lawful basis of legitimate interest to measure the performance of our business, monitor quality and request feedback from you on our services. We also have to process some personal information to update certification bodies and local authorities to comply with regulation. We will not process your personal data for any other purpose. We do not need your consent to process this information but you do have rights to object to its processing. However, doing so may mean we can not fulfil our contract.

Sharing your personal data

In some cases, we will share your personal data with contractors in order to carry out the installation, maintenance, service or to inspect the quality of your energy efficiency improvement. We also must provide information for regulatory purposes including informing the relevant industry body and local authority of the work we have carried out.

Retention periods

We will never retain personal information for longer than is necessary for the purposes we need to use it for. Generally we will retain the data for a period up to 6 years after the funding has been processed in case such personal information is required for the exercise or defence of a legal claim during this period. We may retain personal information for as long as required by Law or instruction of a relevant accreditation body such as UKAS.

Individuals are entitled to exercise any of the following privacy rights in respect of our processing of personal information:

In order for us to carry out the services required we have to process your personal data for that purpose as detailed in the privacy notice. If you exercise your right to object or restrict processing then we cannot perform our services. If these services are part of a contract, then we cannot perform that contract which could constitute a material change.

Job Applicants, current and former Effective Energy employees

All the information provided during the application process is used solely for the purpose of processing that application. We do not share any of the information provided during the recruitment process with third parties. The information supplied is held securely whether the information is electronic or physical and not held for longer than is necessary.

The information provided is used to assess your suitability for employment, you do not have to provide the information we request but it may affect your application if you don’t. We may hold you details for a period of 6 months and contact you with the regards the position applied or a similar position if one becomes available.

If we offer you a position, we will require additional documentation to confirm your right to work in the UK and retain copies of these records.
